The Employee Monitoring RFP: Questions to Ask Every Vendor

A monitoring RFP should be short on marketing questions and long on governance, technical and operational ones: access control, retention, employee views, deployment coverage, audit features and support. This template gives you the questions that matter, organized by section.

Governance Questions

1. Can employees see their own data? (The transparency test - a "no" needs a strong reason)

2. How is role-based access enforced? Can a manager open another team's individual data by default?

3. Is access to monitoring data itself logged? Who reviews the log?

4. What retention controls exist? Can retention periods be configured and enforced automatically?

5. Is the policy template included? Does the vendor support policy-first deployments?

Technical Questions

6. Which platforms are covered? (Windows, macOS, Linux, Terminal Server, Citrix, VMware - ask for per-platform capability, not logos)

7. What is the agent's performance impact? Ask for benchmarks and test on your hardware

8. How is the console deployed? On-premises, cloud, or both - and under what data-residency terms?

9. What integrations exist? HRIS, payroll, SSO, helpdesk - and are they native or via API?

10. How are updates delivered? Patch cadence, and who applies them in on-premises mode?

Feature Questions

11. Which features ship enabled by default? (The default configuration is the actual product)

12. Can sensitive features (keystroke logging, screen recording) be disabled entirely?

13. What do the reports look like? Ask for the employee view, the manager view and the aggregate view

14. How are alerts configured? Can the default alert set be trimmed?

Compliance Questions

15. Which data-protection frameworks does the vendor document? (GDPR, state laws - ask for specifics, not slogans)

16. Where is monitoring data stored? (Region, residency options, subprocessors)

17. Does the vendor provide audit documentation? Data processing agreements, security certifications

18. What happens to data at contract end? Export, deletion, transition terms

Commercial Questions

19. What is the pricing model? Per user, per server, one-time or subscription - and what is included

20. What does support cover? Hours, SLAs, response targets - and training included?

21. What is the trial scope? Full features, real environment, and how long

FAQ

Q: How long should an employee monitoring RFP be?

A: Shorter than vendors expect and sharper than most: 20-25 questions across governance, technical, feature, compliance and commercial sections beats a 60-question document that reads like a survey.

Q: Should the RFP ask about employee-facing reports?

A: Yes - make it a scored requirement. Employee visibility is the transparency standard, and vendors without it will show you in the demo.

Q: What is the most important RFP question?

A: The defaults question: what ships enabled, who can see what out of the box. The demo shows the best case; the defaults are the reality.

CONCLUSION

The RFP is the first governance decision you make: it forces you to define what transparency, access and retention mean before the sales cycle begins. Score the vendors on the defaults, the access model and the employee view - the feature list will take care of itself.
